When a club has a project and wants to take advantage of our 501(c)(3) status and be exempt from sales tax, you simply submit our club application paperwork - it is the third item listed on our Documents and forms page here. After review and approval by our Board, the Treasurer will contact you to get started. Picture is from the multi-club LyonsVA/Community Hope Project, supplying clothing and bedding and similar items to veterans in need. Contact Burim Regjaj of the Westfield Rotary Club for more information.
We act as the finance arm for your project. You raise the money, send it to us, and we maintain a separate account to track revenue and expenses. When you have expenses, the Club submits the invoice and we pay the vendor. We supply vendors with the ST-5 form showing we are exempt from sales tax. When the project is complete and all bills are paid, any leftover funds are returned to your club.
We have successfully managed many club and District projects over the years. We maintain your project file until you tell us the project is completed. We provide regular reports of activity to the responsible party for the Club. Everything is done in full and open transparency.
